# Credits and payments

BoxerBase bills event registrations in credits, with optional online payments through Stripe Connect. One credit is reserved when a boxer registers and consumed when the boxer competes. Organizations may hold a negative balance and pay later. This page explains the credit lifecycle, who is billed for an event, how payments interact with credits, and how to buy credits or clear debt.

## Credit lifecycle

Credits follow one path from registration to resolution:

1. **Reserved**: 1 credit is reserved when a boxer registers. The balance may go negative.
2. **Consumed**: the credit is consumed as the platform fee when the boxer competes.
3. **Released**: the credit is released if the boxer is removed, does not compete, or pays the registration fee online.

## Who is billed for an event

Credits for an event are billed to the **organizer**, the club hosting it, unless the event is filed under a parent organization that covers member events.

When you create an event you can choose whether it is **affiliated** with a parent, for example a federation. You stay the organizer either way, and the create form shows who will be billed.

### Events under a federation

A parent organization sets a default in its organization settings for what member clubs may do:

- Members cannot create events under the parent
- Members create events under the parent and **pay themselves**
- Members create events under the parent and the **parent pays**

For one club, this can be changed on that club's affiliations page. If the organizer or the parent has unlimited credits, the event consumes no credits. Club managers cannot change who is billed after the event is created.

## Online payments

Events can accept registration fees for boxers and coaches through Stripe Connect. When a participant pays online, their credit is released immediately. If boxers compete without paying online, credits are consumed from the organizer's balance, which may go negative while you wait for online payments.

## Federation plans

Federations can purchase plans that exempt sanctioned events from credits:

- No credit consumption when boxers compete in sanctioned events under the federation
- Payment processing fees still apply for online payments

## Registration behavior

- **All events**: you can register participants regardless of credit balance. Negative balances are allowed.
- **Payment-enabled events**: participants can pay online at no credit cost, or use the organizer's credits.
- **Credit-only events**: you can register into debt and purchase credits later to cover the balance.

## Buy credits

Purchase credits on [your organization dashboard](https://boxerbase.com/credits/add):

1. Select the organization to purchase for.
2. Choose the credit amount. Bulk discounts are available.
3. Pay through Stripe.
4. Credits are added to the balance immediately.

Your organization dashboard also shows available, reserved, and consumed credits, plus transaction history.

## Credit debt

Organizations can register participants and create events even with an insufficient credit balance. Debt occurs when you register participants without enough credits, or when boxers compete without paying online fees. There are no restrictions on operations while in debt. Purchase credits at any time to return the balance to positive.

### Changing the registration fee

Teams are charged the fee that was set when they registered. Raising the fee mid-registration only affects new registrations. Teams that registered before the change, or before any fee existed, keep their old amount or no payment at all. To charge them the new price, contact support to have existing payments recalculated.

## Paying your registration

After registering, teams are prompted to pay online. Boxers show as **pending** until the payment completes.

- **Lost the payment prompt?** Open your team's registration on the event, or press the **pending** badge. The organizer can also copy the payment link from there and send it to you.
- **Removed a boxer after paying?** The amount becomes an event credit you can use when registering a replacement. Refunds are not automatic; the organizer can process one from the transactions view.
- **Invoices and receipts**: download a receipt after payment from the registration. Ask the organizer for anything else.
- **Paying cash on site?** Agree this with the organizer. Unpaid teams are not removed automatically; the organizer decides how to handle them, and can mark teams as paid manually or cover them with organizer credits.

BoxerBase supports payments through Stripe. Events that cannot use Stripe handle payments outside the system and pay the per-participant credit fee instead.

## Troubleshooting

- **Credit debt**: purchase credits to cover the negative balance. No operations are restricted while in debt.
- **Payment issues**: verify your Stripe account configuration, or contact support.
- **Balance questions**: check your organization dashboard for the current balance and transaction history.
