BoxerBase
Getting started with events#
This page describes the lifecycle of a BoxerBase event in order, from creation to results. Follow the steps in sequence: most support questions come from doing these steps out of order.
1. Create the event#
Create the event from your organization page. Set the event dates so they cover all competition days: you cannot add sessions on a day past the event end date. Dates and most settings can be changed later.
2. Set up classes and times#
Create all categories, weights and round durations the event uses, under Classes. Boxers can only register for classes that exist. Round durations set here apply to newly created matches in that class.
Add a timeslot for each competition day and session under Times, and enable the rings you will use. A ring that is off (red) receives no matches.
A new event is a draft and hidden from the public. Press Publish to appear on the events calendar. With registration dates set, clubs can register.
3. Registration#
Clubs register their boxers, or you add them yourself:
- Add unlinked boxer: name, club and class entries for boxers not in the system. Unlinked boxers have limited information (no full record).
- Excel/CSV import for bulk adding.
- Organizer additions work even after the registration deadline. The deadline only restricts clubs.
Events with a registration fee prompt teams for payment after registration. Teams show as pending until they pay.
4. Check-in and weigh-in#
Create a check-in or weigh-in under Settings → Weigh-ins. On the day, mark each boxer as checked in or weighed in: from the participants list, by scanning printed start cards, or by entering weights.
The draw only includes boxers who are checked in or weighed in. This is the most common reason a draw produces nothing.
5. Finalize the groups#
In Groups, review each group with the boxers who showed up:
- Split groups that are too large.
- Merge groups that ended up too small.
- Move single-boxer groups into another suitable group, or plan manual matches for them.
Do this before drawing. After a group is drawn, changing its participants requires a draw reset.
6. Draw#
- Draw all groups from the Groups tab, or draw per group. Manual seeding works by drag and drop, with Place boxers filling the remaining positions.
- A group needs at least two eligible boxers. The draw skips groups below that and reports which ones.
- Matches generate immediately and take their positions from the preliminary plan.
7. Plan#
- Make a preliminary plan early, even before the draw, to estimate ring count and end times. Use autoplan for a first draft.
- After the draw, review the real plan, fix ring and slot assignments, and save. Saving sorts matches youngest and lightest first within each ring.
8. Publish matchlists#
Matchlists are hidden until you publish them, per timeslot. Publish a day or session when clubs should see it. Before publishing, only you and other officials see the bouts.
9. Run the event#
Use the supervisor page per ring to run matches and live scoring: judges connect their own device by scanning the QR code on the supervisor screen. Full setup in Supervisor, and screen and streaming options in Live displays and streaming.
Generate referee schedules under Referees → Plan, per session, with 3 or 5 judges.
10. Results and after#
Announced results appear online immediately. Under Statistics → Reports you find entry lists, medalist reports and exports for post-event paperwork.
Troubleshooting by symptom#
| Symptom | Cause |
|---|---|
| Draw, lock or split generates nothing | Fewer than two boxers in the group are checked in or weighed in |
| Clubs cannot see the bout list | The timeslot is not published |
| Clubs cannot register | Registration dates not open, or event still a draft |
| Cannot add a session on a day | The event end date is before that day |
| Wrong round durations (3x3) | Classes were auto-created during import: edit the class |
| Cannot change participants in a group | The group is drawn: reset it first, only possible before results exist |
